Filming & Media Agreement.

Why we are filming

Weekend 01 is The Halloween Table, the filmed opening table of The Lewos Tavern. Because this begins our story, a professional videographer will capture selected parts of the experience so we can show future guests what the Tavern is really like.

This includes photography, video and accompanying audio during selected parts of the weekend, particularly around the game table, shared activities, meals and the Tavern grounds.

The footage may be edited and used to document and promote The Lewos Tavern on Lewos and StoryForgers websites, official organic social-media channels, newsletters, PR and editorial material about Lewos, and promotional videos.

We will not film in bedrooms, bathrooms, changing areas or other clearly private situations. We will also avoid publishing private or sensitive conversations that are unrelated to showing the Tavern experience.

The permissions you can give are set out in full on this page, and how your personal data is handled is explained at the end of it.

What this agreement covers

If you agree, Lewos may record and use material in which you are recognisable:

• professional photography, professional video, and the voice and audio recorded with that video;
• filming around the game table, during shared activities, during selected meals, and in common areas where filming is clearly taking place;
• filming on the Tavern grounds;
• publication on Lewos and StoryForgers websites;
• publication on official organic social-media channels of Lewos and StoryForgers;
• edited promotional films and trailers;
• Lewos newsletters;
• reasonable PR and editorial material about Lewos.

What this agreement does not cover

Agreeing here never gives permission for:

• filming in bedrooms, bathrooms or changing areas;
• filming in any other clearly private situation;
• selling or licensing your likeness to unrelated companies;
• promotion of StoryForgers products unrelated to The Lewos Tavern;
• publication of private conversations picked up incidentally;
• publication of sensitive personal details about you;
• paid digital advertising — that needs its own separate, optional permission.

During the weekend

These are the rules we work to during the filmed edition.

• There is no filming in bedrooms, bathrooms, changing areas or other clearly private spaces.
• You are told when filming is actively taking place.
• There are periods during the weekend when the cameras are down.
• If a conversation turns personal or sensitive, you can ask for the camera to stop, and it stops.
• Meals are filmed selectively rather than continuously.
• The game table is where most of the filming is expected to happen.
• Private conversations and sensitive disclosures are not published, even if they were recorded.

Your agreement

Each adult attending completes this personally. The person who booked and paid for the party cannot give these permissions for anyone else.

And if you would rather not? Then you say no, or you leave the permission unticked, and that is the end of it. You still come, you still play, and nothing changes about your booking. What changes is on our side: we make sure you are not recognisable in anything we publish — not by face, not by voice, not by name, and not by a combination of details that would point to you. If you would rather not be filmed at all, tell us when you arrive and we will keep you out of shot.

You complete it through your own secure link, which we email you before the weekend. That link opens your agreement and nobody else's, and your choices are recorded against your name alone. If you cannot find your link, write to lewos.co@gmail.com.

Changing your mind

You can withdraw this permission. Write to lewos.co@gmail.com and say what you would like withdrawn.

Under the law that applies to this agreement, permission of this kind can be withdrawn. Withdrawing does not make use that already took place lawfully into something unlawful, and it does not undo publications that were already made while the permission stood. What happens to future use and future publication is then dealt with as applicable law requires.

Once you withdraw, Lewos stops using the material for new publication and removes it from the channels Lewos controls, without undue delay. Where material is running in paid advertising, that use is stopped rather than allowed to finish.

Lewos cannot promise to retrieve everything. Copies that other people have already shared, search-engine and platform caches, and material already distributed by third parties are outside Lewos's control. We will say honestly what we could and could not remove.

Withdrawing this permission costs nothing. There is no fee, no charge and no cancellation cost attached to it, and it has no effect on your booking.

How your personal data is handled

This part is information, not permission. It explains what happens to your details and your recordings.

Who is responsible

The controller is Lewos, the trading name of Robert Neugebauer, a self-employed professional established in the concejo of Parres, Asturias, Spain. Lewos decides why and how the material described here is recorded and published.

How to reach us about your data

Write to lewos.co@gmail.com. That address reaches Robert directly and is the contact point for anything in this agreement: questions, corrections, withdrawal or a complaint.

Why we process it, and on what basis

Recording and publishing material in which you are recognisable, for the promotional purposes described above, rests on the permission you give here. Your name and email address are processed so that we can show you the exact text you agreed to, send you your copy, and act on a withdrawal. Keeping a record of what was agreed rests on our need to be able to demonstrate that permission was given.

Who receives it

The professional videographer engaged for Weekend 01, who works only on Lewos instructions and may not publish guest material independently. The website, hosting, database and email providers named in the privacy information. Published material is visible to anyone who visits the channels it appears on.

Where material in which you are recognisable may appear:

• the Lewos website;
• the StoryForgers website;
• official organic social-media channels;
• newsletters;
• PR and editorial publications;
• promotional films and trailers;
• paid advertising on Meta, Google and TikTok — only if you give the separate, optional permission for it.

Transfers outside the European Economic Area

Some of the providers and platforms above process data outside the European Economic Area. The transfers and the safeguards relied on for each of them are set out in the privacy information, and you can ask us for a copy of those safeguards.

How long it is kept

Filming preferences and consent records are kept for as long as needed to demonstrate and respect your choice. Recordings approved for use are kept while that use remains relevant, unless consent is withdrawn for future use. Booking, payment and invoice records are retained for the periods required by applicable accounting, tax and consumer law.

Your rights

You can ask for access to your data, correction, erasure, restriction of processing, and a copy in a portable form. You can withdraw this permission at any time, as described above, and withdrawing is as easy as giving it. You can also object to processing that does not rest on your permission.

Complaints

If you believe your data is being handled wrongly, please tell us first at lewos.co@gmail.com so we can put it right. You also have the right to complain to the supervisory authority: the Agencia Española de Protección de Datos (AEPD), www.aepd.es.

This agreement applies to Weekend 01 of The Lewos Tavern, 30 October to 2 November 2026. If the wording changes, we ask you again: an agreement you gave to an earlier version never carries over to a new one.
